D: Assigning Participants After Site Activation: Homecare Visit Request Workflow for Country Coordinators

After successfully completing the site training and achieving an "Active" status, the site is now approved to proceed with homecare visit requests. The following steps outline how to assign a participant to the site and manage the associated tasks.


Scenario: Site requests a homecare visit

Role: Country Coordinator (CC)

Objective: Site request to the study environment by adding a participant. 


  1. Access Study Management:
    1. Navigate to the "Study Management" of the study or click on "Participants".
    2. In the "Tasks" tab, you will find the task "Nurse identification" added and connected to the participant.
  2. Add Participant:
    1. Press the "Add participant" button in the "Participants" overview.
    2. Fill in the form and press save:
      1. Connect the participant to the right site 
      2. Enter the ParticipantID 
      3. Select reference date for Visit Calculation (this date will be used to calculate the participant visit schedule. Visits will be scheduled with the status "Forecasted" initially)
      4. Add address information (all fields are optional except Country, which will show the countries assigned to the study)
        Note: the postal code and country will appear after 1 minute in the participant overview.

Outcome:

  1. The participant is successfully assigned to the site, and all visits are scheduled with the status "Forecasted". Sometimes it takes a minute to schedule.
  2. Tasks "Nurse identification" is generated and connected to the participant which can be found in the task overview or participant dashboard.
  3. "List of content notification" is send to HCV.supplies@futuremeds.com
