B: Supply Shipping Workflow: Task Creation and Follow-Up for Equipment Management Role

Based on the completion of the List of Contents task indicating that supply is needed, the Supply Shipping Information task is created.


Role: Equipement Management (EM)
Objective: Complete task Supply Shipping Information


Outcome:

Once the Supply Information task is submitted, a sequence of follow-up actions is triggered to ensure proper communication and acknowledgment from the nurse. The workflow includes the following steps only if the nurse is already assigned to the participant:


Day 0 – Confirmation Sent

A confirmation email is immediately sent to the nurse that a shipment has been created and dispatched.


Day 2 – Acknowledgment Request

A follow-up email is sent on day 2 to the nurse asking whether they have received the supplies, prompting an acknowledgment form.


Day 4 & Day 6 – Reminders

If no acknowledgment is received, reminder messages are sent on Day 4 and again on Day 6 to ensure the nurse responds.


Day 5 – Escalation Email

On Day 5, if there is still no response, an escalation email is sent to the designated HCV email address for further action.
