Objective: Ensuring that the nurse is properly informed, the visit is scheduled within the correct window, and all required documentation and verification steps are completed.
Step 1: Nurse Assignment Notification
Once a nurse is assigned to a visit, they automatically receive a confirmation email.
This email includes the name of the study, the visit type, and the target date for the visit.
Action:
- Verify that the email has been sent and is visible in the nurse’s profile under their contact details.
Step 2: Visit Scheduling by the Nurse
Two weeks before the visit window opens, the nurse receives an email prompting them to schedule the visit.
If the visit window is already within two weeks at the time of assignment, the scheduling email is sent within 15 minutes.
If the visit remains unscheduled, a reminder is sent one week before the window opens.
Once the nurse schedules the visit, they receive a confirmation email.
Action:
- Confirm that the emails are sent with the correct study and visit information.
- Use the scheduling link to verify that the visit can be planned within the allowed window.
- Ensure the nurse receives a confirmation after scheduling.
Step 3: Uploading Timesheet and Source Data
At the start of the visit window, the nurse receives a reminder email to upload the completed timesheet and source data.
This email includes the planned visit date.
Action:
- Confirm that the nurse received the reminder.
- Ensure the nurse can upload the required documents.
- Verify that this action triggers the creation of a Source Data Verification task for the Country Coordinator.
